How FuelSync works

FuelSync is one marketplace for buying, selling and delivering fuel across South Africa — on the web, the mobile app and WhatsApp. Buyers post what they need, verified suppliers quote, payment is held safely until the fuel arrives, and drivers track every litre to your gate. Your account is the same everywhere.

Getting started

  1. Step 1
    Sign up

    Create a free account with your email or Google, and pick your user type. One account can hold several workspaces — for example you can be a buyer and a supplier — and you switch between them from the side menu.

  2. Step 2
    Complete your profile

    Add your business or personal details. For addresses, type and pick a suggestion from the map search — this pins your exact delivery location so drivers find you without phone calls.

  3. Step 3
    Upload documents (KYC)

    Suppliers upload four documents: company registration, fuel licence, bank confirmation letter and tax number. Brokers can register as individuals or companies. Consumers, drivers and runners need no documents. Admin reviews submissions and verified accounts carry a badge buyers can trust.

  4. Step 4
    Trade

    Post buy requests, receive and compare quotes, pay securely, track delivery live and confirm receipt. Everything also works on WhatsApp — you never have to log in to place or track an order.

By user type

FuelSync has seven workspaces. Tap yours to see exactly how it works — what you need, what you can do, and how you get paid.

Business buyers

Fleets, farms, mines, construction, hospitals, data centres and other bulk users.

  1. Post a buy request: product (diesel, petrol, paraffin, LPG and more), litres, province, delivery date and any site access notes.
  2. Matching suppliers are notified instantly by email and WhatsApp, and send you quotes with their price per litre and delivery fee.
  3. Compare quotes side by side — price, delivery time, verified badge and star reviews — and chat with the supplier before deciding.
  4. Accept the best quote and pay by Ozow (instant EFT), Paystack (card) — or cash on delivery where the supplier offers it. With escrow, your money is only released to the supplier after you confirm delivery.
  5. Track the truck live, confirm delivery when it arrives, and leave a star review.
  6. The assistant learns your ordering pattern and reminds you when you're due — repeat your last request in one tap from the chat bubble.
  7. Your wallet holds refunds and credit, and Fuel Assist vouchers can be applied at checkout.
Documents

No documents required to buy. Adding your company details unlocks VAT invoices.

Money

You pay per order by Ozow or Paystack — or cash on delivery where the supplier offers it. With escrow, funds are held until you confirm delivery.

Consumers

Private vehicle owners and households.

  1. Order diesel, petrol, paraffin or LPG on the web, the app or WhatsApp — no account needed to browse prices.
  2. See today's pump-price comparison and the exact delivery fee before you pay.
  3. Pay by card or instant EFT; apply Fuel Assist vouchers and wallet credit at checkout.
  4. Track your delivery in real time and confirm when it arrives.
  5. Need help? Type "0" on WhatsApp at any point to reach a person.
Documents

None — consumers never need to upload documents.

Money

Pay per order by Ozow or Paystack. Vouchers and wallet credit come off the total first.

Suppliers

Licensed fuel suppliers, partner/depots and retailers.

  1. List your products and prices; update them any time from the dashboard or straight from WhatsApp ("1 Update my prices").
  2. Browse open RFQs from real buyers and quote straight away — you can quote before your KYC is approved, though buyers see you as unverified until it is.
  3. Get notified by email and WhatsApp the moment a matching request is posted in your provinces.
  4. Boost a listing (from R35/day, 1–365 days) to rank first on the homepage and in search.
  5. Win the order, dispatch, and upload proof of delivery. Payment is released to your wallet once the buyer confirms.
  6. Your live dashboard shows open RFQs, this month's quoted and won value, your conversion rate and litres sold.
  7. The assistant shows you which buyers are likely to reorder in the next 14 days — with rough volumes, never their names.
Documents

Four documents: company registration, fuel licence, bank confirmation letter and tax number. Admin reviews and approves.

Money

Order value lands in your FuelSync wallet after delivery confirmation; withdraw to your bank from the wallet.

Brokers

Individuals or companies that source fuel for clients.

  1. Register as an individual or a company — both are supported.
  2. Post requests on behalf of your clients and receive supplier quotes exactly like a buyer would.
  3. Compare quotes, negotiate in chat, and place the order for your client.
  4. Manage your whole client book, margins and order history in one workspace.
Documents

Individuals: ID. Companies: registration documents. Reviewed by admin.

Money

Your client pays through the platform; your margin is settled to your wallet.

Transporters

Fleet and tanker operators.

  1. Register each vehicle with its documents so buyers and suppliers can trust your fleet.
  2. Receive delivery jobs and dispatch offers matched to your vehicles and routes.
  3. Assign a driver, track the trip, and upload proof of delivery.
  4. Payment is released when the buyer confirms receipt.
Documents

Vehicle registration and operating documents per vehicle.

Money

Delivery fees are paid into your wallet on confirmed delivery; withdraw to your bank.

Drivers & runners

Individual drivers delivering fuel.

  1. See your jobs and earnings in the app or on WhatsApp ("1 View my jobs", "2 My earnings").
  2. Go online or offline whenever you like — or switch on Roaming Mode when you have fuel loaded and want nearby orders.
  3. Navigate to the site, deliver, and get the buyer's confirmation on the spot.
  4. Driving for a registered fleet? Request fleet fuel directly from your menu.
  5. SOS support is built in — help is one tap away on the road.
Documents

None to start; your transporter or fleet verifies you.

Money

Earnings accumulate per delivery and are visible in "My earnings" at any time.

Partners

Partner/depot forecourts, agents and resellers.

Payments & trust

  • Escrow on every orderThe buyer's money is held by the platform when the order is placed and only released to the supplier after delivery is confirmed. If something goes wrong, the money is still there.
  • Verified badgesSuppliers, brokers and transporters upload documents that our admin team reviews by hand. Approved accounts carry a verified badge buyers can check before ordering.
  • Star reviewsEvery completed order can be rated. Reviews are tied to real, paid orders — so quality suppliers rise to the top and bad actors can't hide.
  • DisputesIf delivery goes wrong, open a dispute from the order. Funds stay in escrow while our team investigates, and are released or refunded under our published dispute process.
  • Cash on delivery (COD)Prefer to settle in person? Suppliers can accept COD — you pay the driver on arrival instead of paying upfront. Buyers and suppliers choose COD or escrow per order, and COD terms are listed on each listing.
  • Wallets & vouchersEvery account has a wallet for refunds, earnings and credit. Fuel Assist vouchers work like gift cards for fuel — buy one for a family member or employee and they redeem it at checkout.
  • Real notificationsQuotes, order updates and delivery alerts arrive by email and WhatsApp — not just in the app — so nothing waits for you to log in.

Ordering on WhatsApp

Everything above also works in chat. The bot understands plain language, so you can type what you need instead of navigating menus.

  1. Message +27 65 750 2143 and say "hi".
  2. A FuelSync account is linked to your number automatically — or link it from your profile.
  3. Reply with a menu number, or just type what you need ("50 litres diesel to Midrand").
  4. Type "menu" at any time to start over, or "0" to reach a person.
  5. Suppliers can update prices and drivers can manage jobs without ever opening the app.

The assistant

The orange chat bubble on every page is the FuelSync assistant. It answers questions about the platform, and once you're signed in it learns your ordering pattern: it shows your usual product, litres and frequency, warns you when you're due to reorder, and can repeat your last request in one tap. Suppliers see which buyers are likely to reorder soon — with rough volumes, never names. Fuel Assist voucherscan also be bought and redeemed through it.
